Why CMMS and ILS data quality has to be right from day one

On a new build, the maintenance data is created long before the plant runs. Equipment suppliers deliver tag lists, BOMs, spare parts data, manuals and PM recommendations. The owner’s team loads it all into the CMMS or EAM. Then the plant starts up and whatever was delivered is what operations and maintenance live with for the next 20 to 40 years.

If that data is built right at handover, the owner gets a plant that is ready to maintain on day one. PMs run on the correct assets. Spare parts match what’s actually installed. Criticality is classified consistently across the site. Reliability KPIs reflect reality from the first month of operation, not three years in once someone finally cleans the database.

If it isn’t, the cost compounds quickly:

  • PMs are written against tags that don’t exist, or missing for assets that do
  • BOMs don’t match the as-built — so the first real breakdown means a wrong part on the truck
  • Asset hierarchy is inconsistent between disciplines, making cost and reliability reporting unreliable
  • The owner spends the first two years of operation cleaning data that should have been correct at handover
  • For the equipment supplier, late-stage data corrections turn into scope disputes, delayed acceptance, and held payments

 

For the supplier, getting the ILS deliverable right protects the project schedule and the relationship with the owner. For the owner, it protects the operating budget and the credibility of every maintenance decision made in the first decade of the plant’s life.
